A shared plan with clear ownership

Create a space around a goal, invite the people involved, and give each task a clear owner. Shared tasks use the familiar Smart Planner task flow, so you can add a description, a due date, a priority, and smaller steps without learning a separate project-management system. If plans change, reassign the work instead of leaving the responsibility buried in a conversation. Everyone in the space can see the shared task list and understand what needs attention next.

  • Assign work to a member, or leave it unassigned until you decide together.
  • Break larger tasks into subtasks and check off the smaller steps as you go.
  • Use recurring tasks for routines that repeat, such as weekly household jobs.
  • Switch between task views and date or status filters to find what is due, completed, or overdue.

See the group's progress and each member's contribution

Open Analytics inside a Shared Space to review completion rate, open and overdue work, and the completion trend over the last 14 days. Each current member has a separate line, so you can see the group's pattern without losing the individual picture. Use the member filter to focus on one person, then return to All members for the wider view. Member summaries also distinguish assigned workload from recorded completions. These views are useful for a quick check-in: what is moving, where is work building up, and does anything need to be reassigned?

Assigned to is not the same as completed by

The assignee identifies who is responsible for a task. Completion activity identifies the member who marked it done. If one person completes a task assigned to another, those are two different facts. Shared Space analytics keeps that distinction visible. Use the numbers as a starting point for a conversation, not as a measure of effort or the difficulty of the work.

Let AI help, then review the shared plan

Describe the goal in AI delegation and ask for a draft that divides the work across your space. The planner can use the members and planning context available to it, but you stay in control of the result. Review each assignment, date, duration, and any repeating routine before saving. Edit a suggestion, regenerate the draft, or discard it if it is not right. Nothing in the preview becomes a shared task until you save it. A useful request explains the goal, who is involved, and any timing constraints. For example:
